Your Selfmanaged email address, and Emails and documents
Give tenants your Selfmanaged address, see what arrives under Emails and documents, file each email to its tenancy, and have documents read.
Updated 24 October 2026
Your account has its own email address. Email sent to it shows under Account › All your properties › Emails and documents.
- Under Account, open Emails and documents.
- Under Your address for email, at the top, tap Copy.
- Give it to your tenants for repairs and anything else about the tenancy.
The first part of the address comes from your name, so anyone you give it to sees that. It can’t be changed in the app: if it starts getting spam, email support@selfmanaged.co.uk.
Read and file your email
- Open Emails and documents. Under Received, the newest email comes first, and Show Older Emails fetches earlier ones.
- Tap an email to open it. Opening it marks it read, and Mark as Unread puts it back.
- Tap Open File to open an attachment. If the email couldn’t be fetched, tap Try Fetching Again.
- If it isn’t filed, choose the Tenancy under File to a tenancy, then tap File to Tenancy.
An email from a tenant’s own address goes into their tenancy’s evidence file by itself, once the receiving mail server confirms it came from them. One you file goes in with its text and its attachments’ fingerprints, and can’t be moved or taken out afterwards.
The app doesn’t reply to or forward these emails, except one that names a danger, such as a smell of gas. That one goes to you at once, and a tenant who sent it gets the app’s safety words.
On Free, emails and their attachments are kept, but nothing is read.
On Standard and Extra
Have documents read
- Under Account › Emails and documents, read what Reading documents says is sent, and to whom.
- Tap Turn On Reading, or Turn On for All Documents where it’s on for certificates only. Turn Off Reading stops anything more being sent.
- Forward a gas safety record, EICR or EPC from your sign-in address. Its dates update by themselves, for you to check.
- For another attachment under Emails and documents, tap Read It, or Read as Certificate while reading covers certificates only.
- To upload a document, open the property’s Documents from your email, tap Read a Document, then Choose Document.
- On the reading, switch on each value you’ve checked, or tap Use All. Then tap Use in Tenancy, Add Certificate or Keep for the Books, or Dismiss Reading to use nothing.
- On a gas safety record or EICR, For your house guide shows where it says the boiler, gas meter or fuse box is. Tick each one you’ve checked, change the words if you need to, then tap Add to House Guide. They go into the home’s house guide as drafts, only where the guide has no answer yet.
Set up your homes then doesn’t ask where the gas meter or fuse box is, and asks once for the boiler’s steps.
A certificate you forward on its own, or read under Emails and documents, doesn’t offer where things are: upload it with Read a Document instead.
Only the document is sent, never the words of an email, to Anthropic’s AI model to read it. Nothing read goes into your records until you choose it. Each read counts towards a daily limit, which Documents shows under About reading documents.
Reading a certificate doesn’t give a copy to your tenant, and reading a deposit certificate doesn’t give them the prescribed information.
Can’t find the answer? Email support@selfmanaged.co.uk. A person reads it; nothing replies automatically.
