The evidence file
See every dated entry for a tenancy, record a conversation or visit, correct an entry, and print or share the file.
Updated 25 October 2026
Each tenancy has an evidence file: every change the app records for it, in the order it happened. Entries can’t be changed or deleted, and a correction is added as a new entry.
- Open the property from Properties, then open Evidence file. It shows the latest entries.
- Tap Open Evidence File to see the whole file. Its newest 5 entries show at the end. Tap Show All above them for the earlier ones, or choose a month under Go to month.
The app adds an entry when you record something, such as rent, a notice, a certificate, a deposit date, a pet request or a repair. It adds one when an email arrives from the tenant’s own address or you file one, and for every rent reminder sent, with its text. Each line shows two times: when it happened, and when it was recorded.
Record a conversation, call, visit or letter
- Tap Record Conversation, on the property’s page or in the file.
- Check When, in London time, and change it if it was earlier.
- Choose How, such as Phone call, In person or Letter.
- Under Who, say who you spoke or wrote to, and who else was there.
- Under What was said or agreed, write what each person said, in plain words.
- If it was about a repair, choose it under About a repair. To add a photo or a PDF, tap Choose Attachment.
- Tap Save to Evidence File.
Correct an entry
- On the entry, tap Correct Entry.
- Under What should it say?, write the correction in your own words.
- Tap Add Correction.
The correction points to the entry it corrects, and both are shown.
Print or share it
- Wait for the fingerprint under Check it hasn’t been changed, at the foot of the file. Printing waits for it.
- Tap Print Evidence File, or Share where your device can share.
Share sends the file as text, without its photos and attachments, which stay private in your account. The fingerprint is worked out from the file’s contents, so a later copy with the same contents gives the same one. It doesn’t show that the contents are true or complete.
What the law says
- A landlord seeking possession must prove the ground used, and the court weighs the evidence.
- GOV.UK’s guide on antisocial behaviour recommends a diary of events with dates and times, and a record of speaking and writing to the person.
- The evidence file is your own record, not proof: the court decides what it shows.
