Record the deposit and the prescribed information

Record when the deposit arrived and was protected, see the legal cap, and give your tenant the scheme’s prescribed information from the app.

Updated 18 October 2026

A deposit must be protected in an authorised scheme, and the prescribed information given to the tenant, within 30 days beginning with the day it is received. The day it arrives is day 1. The app counts the days from the date you record, and shows a card until both are recorded.

Record the dates

  1. Open the property from Properties, then open Tenancy. Or, on the deposit’s card on Properties, tap Record Dates, which opens the same place.
  2. Tap Edit Tenancy.
  3. Under Deposit, enter the Deposit (£) and the Received on date. This starts the 30-day clock.
  4. Choose the Scheme, and add the Scheme reference if you have it.
  5. Enter Protected on once it’s protected, and Prescribed information served on once your tenant has the information.
  6. Tap Save Changes.

The schemes in England are the Deposit Protection Service, mydeposits and the Tenancy Deposit Scheme.

While either date is missing, the card counts the days, such as day 12 of 30, and says what isn’t recorded yet. The rule doesn’t reach every tenancy. For one that began before 1 May 2026, the form asks whether it was an assured shorthold tenancy then.

The deposit cap

A deposit can be at most 5 or 6 weeks’ rent, depending on the annual rent, and anything above the cap is a prohibited payment. As you type the Deposit (£), the form shows the legal cap for this tenancy under it. Over the cap, you can still save it, and the property shows a red card until the excess is returned and the lower amount recorded. The cap doesn’t reach every deposit, and the form says when.

Give the prescribed information

While the prescribed information isn’t recorded, Give Prescribed Information is on the deposit’s card on the property’s page. On Properties, it’s under More on the deposit’s card once protection is recorded.

  1. Tap Give Prescribed Information. It opens Serve a document, with Prescribed information about the deposit chosen.
  2. Under The scheme’s documents, tap Choose PDFs. Add the certificate and the prescribed information from your scheme, signed by you where its form asks, and its leaflet if it’s separate.
  3. Follow the steps to choose who gets it and how, and serve it.

The app counts an email as serving it only where the tenant has agreed to documents by email, or you recorded the tenancy agreement’s email clause. Otherwise it sends a courtesy copy, and the document still has to be given on paper. See Ask your tenants to agree to notices by email. Once every tenant has it, the tenancy’s Prescribed info date is set to the day it counts as served, if none was recorded already. The app also reminds you to give a copy to anyone else who paid the deposit for your tenant.

If you gave it outside the app, enter the date under Prescribed information served on with Edit Tenancy instead.
